RHS GRADE REPORTING SYSTEM

 

INSTRUCTIONS FOR TEACHERS

 

 

          Please refer to the following when recording grades on scan sheets.  If you have any questions, please contact Ms. Dierolf in Room R354. Please read all instructions before completing the grade scan sheets.

 

I.                   GRADES/COMMENTS

 

1.     Students may be given the following grades: A+, A, A-, B+, B, B-,C+, C, C-, D+, D, D-, F, I and P.  (See IX.)

2.     Use Incomplete (I) grades for students who have missed classroom instruction because of an extended absence due to illness.  Forms are available in R354.

3.     Pass (P) grades are only for SAT, Sectionals, and Volunteerism courses.

4.     (X) grades are not used at RHS.

5.     Students may receive two comments on their report cards.  (See attached comment catalog.)  Use comment box #1 first then use comment box #2.  DO NOT USE comment box #3.

6.     Failing grades must have a comment.  Any student who is given an “F” must have a comment explaining why the “F” was given on the report card.  Please see attached comment catalog.

 

II.                 GRADE REPORTING SCAN SHEETS

 

1.     The scan sheet is divided into two sections that are separated by a perforation.

a.                 The left section is for your records.  DO NOT DETACH THIS SECTION.  It must remain attached until the grades are processed.  After processing is completed, this section will be returned to you.

b.                 The right section will be submitted for processing. Grades must be entered correctly in this section.

2.     Do not fold, staple or mutilate the scan sheets.  Damaged sheets may not be processed properly.

 

III.               RECORDING QUARTER GRADES AND COMMENTS

 

1.     When recording grades on scan sheets, use a number two pencil.  PRESS FIRMLY.  Marks should be as dark as possible.

2.     To record grades and comments, proceed as follows:


 

a.                 Record the grade under the appropriate marking period on the left section of the scan sheet.  As previously stated, this section MUST remain attached to the right section and will be returned for your records.  After the first quarter, each student’s previous grade(s) will print in this area as well.

b.                 Proceed to the right section of the scan sheet to the column labeled Current Marking Period:

1.                 Record the current marking period grade in the appropriate space.

c.                 DO NOT use the class absences box.

d.                 Finally, record the comments in the comment section.  You may use two comments for each student.  If you use only one comment, it must be recorded in comment box #1.  DO NOT use  comment box #3.  When using comments 01 to 09, please omit the 0.  

Example:  If you want to record comments 5 and 31, proceed as follows:  Darken circle 5 in comment box #1  and circles 30 and 1 in comment box #2.  

 

IV.              FINAL EXAM GRADE

 

1.     The final exam grade must be recorded in the comment section of the grade reporting scan sheet.  See comments 1 through 6 in the attached comment catalog.  Comment 96 is used for students who are not required to take the final exam, because they have “A” grades in each quarter.

2.     Any class with a meeting time of 6 days per cycle or more must be given a final exam.

 

V.                FINAL GRADES

 

1.     Final grades are to be used at the following times:

a.                 At the end of the second quarter for first semester courses.

b.                 At the end of the fourth quarter for full year and second semester courses.

2.     Final grades are placed in the final grade box.

3.     Each student must be given a final grade.  The computer will not average the grades.

4.     The final exam grade must count as 20% of the final grade.

Examples: 

Semester Course – Count the first and second quarter grades twice and average with the final exam grade.

Full Year Course – Average the four marking period grades and the final exam grade to get the final grade.


 

VI.              CORRECTING MISTAKES ON THE SCAN SHEET

 

1.     If a mistake is made when recording a grade on the scan sheet (“B” is recorded but should be an “A”), erase the incorrect grade completely and replace it with the correct grade.  Be sure the entire mark is erased.

 

VII.            NEW STUDENTS AND STUDENTS NO LONGER IN CLASS

 

1.     If a student’s name is missing from your scan sheet, use the add/delete sheet to have it added.

2.     If a student is no longer in your class and his/her name appears on your scan sheet, use the add/delete sheet to have it deleted. Please give the deleted student a grade.

3.     Use the CUT OFF DATE provided to you on the add/delete sheet to determine if students should be added or deleted.

4.     If a student is new to RHS, transfer grades may be available in the Guidance Office.  See Mrs. Spiers.

 

VIII.          TEACHER ABSENCE

 

1.     Teachers who are absent on the date grade reporting scan sheets are due ARE RESPONSIBLE to have their sheets in R354 by the designated time.  The date and time will be communicated to teachers near the end of each quarter.

C+      77-79%

C        73-76%

C-                70-72%

D+      67-69%

D        63-66%

D-                60-62%

F        59% and below
